Bookkeeping for small businesses & nonprofits

Still doing your books at 11pm on a Sunday?

You didn't start your business to become a part-time accountant. Hand the books to someone who did this for a Fortune 500 company, and get your evenings back.

Sound familiar?

The books keep stealing your evenings.

A shoebox of receipts

Transactions pile up for months, and every tax season starts with a weekend of guessing what that $412 charge was.

No idea what's actually in the bank

The balance says one thing, but you don't know what's already spoken for, what's owed to you, or whether you can afford to hire.

Your CPA keeps asking for things

Every year-end turns into a scramble of spreadsheets and apologies, and the bill goes up because the books arrived messy.

Services

Clean books. Clear numbers.

Flat monthly pricing, quoted after a free intro chat. No hourly surprises.

Monthly bookkeeping

Small businesses

Every transaction categorized, every account reconciled, and a short monthly report that tells you where you stand. You get your numbers by a set date each month, not whenever you get around to it.

  • Bank & credit card reconciliations
  • Categorized transactions
  • Monthly profit & loss and balance sheet
  • Accounts receivable & payable tracking

Catch-up & clean-up

Behind on the books

Months or years behind? Never opened the accounting software you paid for? Victoria brings the books current, fixes what's miscategorized, and hands you a clean starting point.

  • Historical transactions entered & categorized
  • Duplicates and errors corrected
  • Chart of accounts cleaned up
  • Ready for your tax preparer

Nonprofit bookkeeping

Mission-driven organizations

Nonprofits have rules a business bookkeeper may not know: restricted funds, functional expenses, grant tracking. Victoria spent four years auditing nonprofits and knows what your board and auditors expect to see.

  • Restricted vs. unrestricted fund tracking
  • Functional expense allocation
  • Grant & program reporting
  • Board-ready financial statements

Tax-ready reporting

Year-end support

Books that go to your CPA closed, reconciled, and documented, so tax prep takes hours instead of weeks. Victoria works directly with your tax preparer on anything they need.

  • Year-end close & adjustments
  • 1099 vendor tracking
  • Organized support for every balance
  • Direct hand-off to your CPA

Hi, I'm

Victoria Smith

  • B.S. Accounting degree
  • 4 yrs Auditor in public accounting, serving nonprofits
  • F500 Corporate accounting department experience

I started Bookkeeping by Victoria because I kept meeting owners who were brilliant at their work and quietly dreading their books. Bookkeeping should take the stress off your plate, not add to it.

Before this, I spent four years as an auditor in public accounting, mostly with nonprofits, which means I've seen hundreds of sets of books and know exactly what clean ones look like. I then worked in the accounting department of a Fortune 500 company. I bring that same rigor to a business of five people as I would to one of five thousand, with a calm approach and no jargon.

Whether you're running a small business or a mission-driven organization, I've got you covered. Let's get your numbers in order.

For nonprofits

Books your board and your auditor will both thank you for.

Four years auditing nonprofits taught Victoria what gets flagged, what gets asked for, and how to keep the answer ready all year.

  • Fund accounting done rightRestricted, temporarily restricted, and unrestricted balances tracked separately, so you always know what you can actually spend.
  • Functional expense reportingProgram, management, and fundraising costs allocated the way your Form 990 and your funders expect.
  • Audit & 990 readyReconciled accounts and organized support, handed to your CPA or auditor without a scramble.

Questions

Things people ask before they reach out.

Do I need to be local?

No. Everything is done remotely through secure bank feeds and cloud accounting software, with calls or email whenever you need them.

What software do you work with?

If you already use accounting software, Victoria will work in it. If you're starting from spreadsheets or a shoebox, she'll recommend and set up the right tool for your size.

I'm way behind. Is it too late?

It's never too late, and it's usually less work than you fear. Catch-up projects are quoted as a one-time fee, and monthly service picks up once you're current.

Do you do taxes?

Victoria keeps your books tax-ready and works directly with your CPA or tax preparer, so filing is fast and clean. She doesn't file returns herself.

How much does it cost?

Pricing is a flat monthly rate based on your transaction volume and number of accounts, quoted after a free chat. No hourly billing and no surprises.
